Capabilities

The parts of the operation your software leaves to your staff.

This page is capability, not a menu. Most projects use two or three of these, wired into the software you already keep. Which ones are worth building is exactly what discovery is for.

01

Connect what you already run

Your field software, your accounting and your spreadsheets hold the same information, and none of them share it. We move it between them automatically, in both directions.

  • QuickBooks, so the books stay reconciled without anyone retyping
  • Field, service and project software — Jobber, ServiceTitan, Procore, Buildertrend and similar
  • Stripe and card, ACH or stored payment methods
  • Twilio for SMS, call routing and notifications
  • Email, calendars and the line-of-business tools nobody is giving up
  • REST APIs and webhooks in both directions, with retries and reconciliation

02

Automate the manual handoffs

The steps that only happen because someone remembers them: re-entry, follow-ups, notifications, document handling and the monthly reconciliation nobody wants.

  • The same information entered once instead of in three systems
  • Estimate and invoice follow-up that stops the moment someone replies
  • Appointment, service and renewal reminders that send themselves
  • Internal handoffs between office, sales, PMs and the field
  • Documents generated, filed and attached to the right job
  • Lead routing by service line, territory or value

03

Field-to-office operations

A change called in from a jobsite should not need three people to become a schedule change, a change order and an invoice line.

  • A field view built for a phone in a truck, not a desktop
  • Job status that updates the office without a phone call
  • Photos, notes and documentation attached to the job, not to a phone
  • Scheduling and dispatch across crews, techs and service lines
  • Recurring and contract work that survives a reschedule
  • Day sequencing, routing and crew assignment

04

Estimating & change orders

Your pricing rules encoded properly, and the context of the estimate carried into the job instead of being rebuilt from memory once the work is awarded.

  • Pricing logic based on your measurements, tiers and modifiers
  • Templates for the work you quote every week
  • Multi-option proposals a customer can actually understand
  • Approvals before anything goes out the door
  • Digital acceptance and signature capture
  • Change orders priced, approved, scheduled and billed as one flow

05

Internal tools & custom CRM

The spreadsheet that quietly became a system, turned into software your team can actually run on — with permissions, history and no risk of somebody sorting one column.

  • Customer, property and site records modelled the way your company thinks
  • Custom fields and statuses for the things your team actually tracks
  • The workflow no product supports, built as its own tool
  • Roles and permissions, so the right people see the right records
  • History and audit trail instead of a version called final-v3
  • Contracts, service agreements and renewal dates in one place

06

Customer self-service

When was I serviced, what did I approve, what do I owe. Every one of those is currently a staffed phone call.

  • Service history, upcoming visits and project status
  • Estimates and change orders to review, approve and sign
  • Invoices and online payment
  • Service requests that land in your workflow, not an inbox
  • Documents, photos and site details
  • Lives inside your existing website or alongside it — customers see one company, not two systems

07

Job costing & reporting

Numbers reconciled once by the system, instead of assembled by hand out of three tools at the end of every month.

  • Job costing against estimated hours and materials
  • Margin by job, service line, crew and customer
  • Revenue, recurring work and contract renewals
  • Close rates by lead source and estimator
  • Field productivity and schedule adherence
  • Reports built on one set of figures, not three that nearly agree

08

AI where it removes real work

Applied to specific jobs where it saves measurable hours — reading documents, handling calls, drafting replies. Not bolted on so the word appears on a page.

  • Pulling structured data out of invoices, POs, plans and submittals
  • Turning a messy phone call or email into a structured lead or request
  • AI phone answering that qualifies, books and hands off to a person
  • Drafting estimates, follow-ups and customer replies for review
  • Classifying and routing inbound requests
  • Consequential actions held for a human to approve, always

No project includes all eight. Scope is written down and priced before development starts, and anything added later is quoted separately.

Platform experience

Systems we have already shipped.

Production work, listed as capability rather than dressed up as client case studies. Client results, when we have them, are published on the Work page with the client's name on them.

AI receptionist and intake

Answers inbound calls, qualifies the caller, captures the details a real estimate needs, and books the appointment straight into the schedule.

  • Voice
  • Lead capture
  • Scheduling

Recurring scheduling engine

Recurring service plans across multiple crews and service types, with reschedules, seasonal cycles and exceptions that do not corrupt the rest of the calendar.

  • Scheduling
  • Crew operations

Customer portals

Self-service access to service history, estimates, approvals, invoices and payments — the questions that otherwise arrive by phone.

  • Portal
  • Self-service

Payment and subscription infrastructure

Stripe-backed card and ACH processing, stored payment methods, recurring billing and reconciliation that survives contact with accounting.

  • Stripe
  • Billing

Estimating and proposal workflows

Rule-driven pricing, multi-option proposals, internal approvals and digital acceptance, built so pricing does not depend on who is quoting.

  • Estimating
  • Approvals

Lead pipelines and routing

Inbound leads captured, deduplicated, scored and routed by service line and territory, with follow-up that stops when a human replies.

  • CRM
  • Automation

Route and field workflows

Day sequencing, crew assignment and job status reported from the field, so the office knows where work stands without calling the truck.

  • Routing
  • Mobile

Cross-system API orchestration

Keeping several systems of record in agreement — webhooks, retries, idempotency and reconciliation, which is where most integrations quietly fail.

Boundaries

Just as important: what we won't build.

Scope discipline is the difference between a system that pays for itself and a project that quietly doubles.

We don't rebuild your accounting

QuickBooks is good at accounting. We integrate with it so your books stay correct without anyone retyping invoices.

We don't replace the software your team already knows

If your field, service or project software is doing its job, it stays. Retraining a whole company is a cost, and it is rarely the thing that was hurting you.

We don't build features to raise the invoice

Every item in scope has to earn its place by removing real work. If it doesn't, we cut it before you pay for it.

We don't ship and disappear

Hosting, monitoring, fixes and support continue after launch. Software you cannot maintain is a liability.

Your website can be part of this, if it helps

When the lead forms, estimate requests, booking and customer portal all feed the same system, it usually makes sense for us to host and maintain the site too. If your current site works and your web guy is good, keep them — this is an option, not a condition.

Which of these would actually move the needle for you?

That is the first question on the call. Bring one workflow your software has never handled properly and we will work backwards from there.

Thirty minutes, no obligation. Custom builds start at $6,000.
